The OIE Case Manager is responsible for the day-to-day management and tracking of harassment, discrimination, sexual misconduct, and retaliation reports including initial inquiries, informal resolutions, and formal investigations. This includes monitoring the intake of reported violations of nondiscrimination policies to the Office of Institutional Equity, managing outreach and response to relevant parties, maintaining the data collection, input, and analysis of information in the OIE case management system, and managing communication and compliance processes regarding reports and complaints. The OIE Case Manager will provide overall case management support to OIE staff by assisting with prompt and effective action when reports and complaints are received by OIE. This position will also assist in initial inquiries, investigations, and resolutions processes when appropriate and necessary.
Duties & Essential Job Functions:
1. Manages the intake, outreach, and response to reports and complaints alleging violations of the University harassment, discrimination, retaliation, and sexual misconduct policies relevant to OIE. 2. Assists with communication to relevant parties regarding the status of reports and complaints of harassment, discrimination, retaliation, and sexual misconduct. 3. Assists in the implementation of supportive measures for complainants, respondents, and witnesses. 4. Maintains a case log of all active reports, investigations, and case assignments for OIE staff meetings. 5. Provides compliance support for all OIE reports, complaints, and investigations, ensuring that the published policies and procedures are followed. 6. Collaborates with the OIE investigators regarding the status of cases; identifies and integrates best practices in the investigation process; and performs requested research of case law or relevant national trends. 7. Assists with initial inquiries, informal resolutions, and/or investigations when appropriate and necessary. 8. Organizes and maintains case records within the OIE records management system as well as relevant legal and hearing processes. 9. Maintains data integrity by entering, testing, verifying, and archiving data on website and in case management system. 10. Manages data recording process for sanctions and recommendations resulting from reports and complaints submitted to OIE. 11. Compiles data for reports and inquiries including, but not limited to: Jeanne Clery Act Report, TX SB 212 biannual Board of Trustees (BoT) reports, Title IX and OIE Statistics BoT reports, quarterly Chancellor reports pursuant to TX SB 212, and any other reports requested by the OIE Director or Title IX Coordinator. 12. Performs other duties as assigned.
Required Education & Experience:
• Master’s Degree • 3 years of professional experience in a related field with at least 1 year of experience conducting employment or education/student discrimination, harassment, and retaliation investigation.
Preferred Education & Experience:
• Completion of sexual violence prevention and/or response training with a nationally recognized organization. • Completion of Civil Rights/EEO training focusing on harassment and discrimination in the workplace. • Experience working in a higher education environment.
• Knowledge of customer services techniques. • Knowledge of research techniques. • Knowledge of interpersonal communication techniques. • Knowledge of department of department specific computer software. • Knowledge of compliance, discrimination, and harassment policies. • Knowledge of pertinent federal and state regulations such as EEO, OFCCP, ADA, etc. • Knowledge of university resources. • Skill in some or all components of Microsoft Office. • Skill in written and verbal communication. • Ability to balance multiple projects simultaneously. • Ability to assume administrative functions and make independent decisions regarding daily activities. • Ability to work constructively with diverse populations, and participation in, or support of, organizations that promote diversity or affirmative action.
